What we process

This site has no forms, no accounts, no cookies and no analytics. The only thing recorded when you visit is what every web server keeps as standard: the IP address, the time, the page requested and the browser type. Our hosting provider's server records this automatically. We add nothing to it, use it only to keep the site running and secure (our legitimate interest), and never use it to identify or profile anyone. Beyond that, personal data reaches us in two ways only.

What you send us yourself:

• Your business contact details — name and work email — when you write to us.
• The files you send with an enquiry, and the correspondence about them.

And business contact details we gather ourselves when we approach a company about our work: a name, a role, a company and a work email address, taken from that company's own website or public business directories. We hold no private or home contact details, and we build no profiles.

We ask for no more than the enquiry needs. Where a study is computed from your operational files, those files contain no personal data by design: we ask for no serials, no IP addresses, no site coordinates and no employee data.

Purpose and legal basis

We process this data to answer you and to deliver the services you request (performance of a contract), and to invoice and keep books (legal obligation — accounting records are retained for 7 years under Estonian law).

Business contact details gathered for outreach are processed on the basis of our legitimate interest in offering our services to companies that may need them (Article 6(1)(f) GDPR). We have weighed that interest against your interests: we write to people in a professional capacity about a matter within their job, at a work address, we send no more than a short introduction, and one word from you ends it permanently. If you would rather we did not, say so and we stop.

Outreach

When we write to you first and you did not give us your address, we say so in that first message and we tell you where we found it. Every message carries a plain way to refuse.

If you refuse, we keep your address on a suppression list and nothing else. We keep it indefinitely, because that is the only way to guarantee we do not write to you again.

Where your data is held

This website, our mailboxes and our business records are held inside the European Economic Area. Your personal data stays within the EEA; we make no transfer to a third country.

Sharing

We do not sell your data. There are no ad networks and no analytics. Data is shared only with the processors that run the service, each acting on our instructions alone under a data processing agreement:

• Our hosting provider, which runs this website and our email inside the EEA, and passes the mail we send through its own filtering service, which screens it for spam and malware.

We also disclose data where the law requires it — for example to a tax authority or a court.

How long we keep it

• Enquiry correspondence that does not become work: 12 months.
• Accounting records: 7 years, as Estonian law requires.
• Outreach contact details that go nowhere: 12 months.
• Suppression list: indefinitely, so that your refusal holds.

Your rights

You may request access, correction and deletion (except records the law requires us to keep, such as accounting records), you may object to or restrict processing, and you may ask for a copy of the data you gave us in a portable form. Where we write to you on the basis of our legitimate interest, you may object at any time and we will stop — no reason needed.

Write to hello@kairoico.com. We answer within one month. You may lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, AKI).

Cookies

None. This site sets no cookies and runs no trackers or analytics scripts. That is true today and stays true unless this notice is updated first.

The Raleway typeface is served from this site's own server, under the SIL Open Font License 1.1. No third party is contacted to render these pages: your browser talks to us and to nobody else, so nothing about your visit reaches anyone we have not named here.

If this notice changes, the date above changes with it.
